**NEW APP ALERT - ACTION REQUIRED**
The Workflow Services app is replacing the ImageMover app. Check your tablets now to see which one you are currently using. If you are still using the ImageMover app, please follow the instructions here to change to the Workflow Services app. This is a must-do as pharmacy support within the ImageMover app will not be supported starting in 2025.
Real-Time Eligibility Checks Now Live!
We’re excited to announce that Real-Time Eligibility (RTE) checks are now active on the Workflow Services Platform for customers who have medical insurance information in their profiles. This feature allows pharmacies to instantly verify a patient’s insurance eligibility (on the medical benefit), streamlining the claims process and enhancing accuracy in billing.
How Real-Time Eligibility Checks Work
When RTE is enabled, the platform will automatically verify a patient's medical insurance coverage with their listed payer, confirming eligibility in real time. This verification helps ensure that claims are processed more smoothly, reducing delays due to missing or inaccurate information. For most payers, this automated check provides real-time feedback, making it a useful addition to the pharmacy workflow. RTE has three possible results:
- Eligible: patient information is accurate and the patient has coverage with this payor.
- Ineligible: patient information may not be correct, the patient is not covered by this plan, OR the plan does not support RTE.
- Failed: RTE did not happen. A communication error occurred. We recommend trying again.
What to Do if an RTE Check Shows Ineligible
While RTE significantly boosts accuracy, it isn’t foolproof. If an RTE check fails, here are the steps a pharmacist or technician should follow:
- Verify Insurance Information: Double-check that the insurance details in the patient’s profile are correct and up-to-date. If correct, go to step 3.
- Make Any Necessary Corrections: Update the patient’s insurance information if errors are identified.
- Proceed with Workflow: Once insurance information is confirmed, continue with the usual workflow to ensure timely claim submission.

Medical Billing: Dedicated Type 2 NPI Number Requirement
To streamline medical billing processes and ensure accurate claim management, Workflow Services customers are now required to obtain Type 2 NPI specifically for medical billing associated with clinical services. This unique NPI number, distinct from other NPI numbers the pharmacy may currently use for other services, is critical for proper electronic remittance advice (ERA) routing within Workflow Services. This NPI will be leveraged exclusively by Workflow Services to support the claims managed through our platform.
Why a Type 2 NPI?
A dedicated Type 2 NPI for medical billing enables Workflow Services to correctly handle ERAs related to clinical services. Without it, pharmacies risk several issues:
- Missed ERA Returns: Claims associated with medical billing may fail to return ERAs to Workflow Services.
- Incorrect Routing for Other Services: If ERAs for services like DME billing are sent through Workflow Services, it can cause delays, leading to unnecessary complications in the remittance process.
Both scenarios can slow down reimbursement timelines, impacting efficient billing management.
How to Apply for a Type 2 NPI
To apply for your Type 2 NPI number that will be dedicated to medical billing, visit the National Plan and Provider Enumeration System (NPPES) application page and complete the required steps. Once received, if you already have Medicaid enrollment for your services, you’ll need to update it by linking it to this new Type 2 NPI to ensure seamless billing integration.
Once you have your new Type 2 NPI number you will need to update the taxonomy code associated with this NPI number, Please see this article for instructions on how to do this.
Obtaining and using your new Type 2 NPI number dedicated to medical billing will help ensure that claims are accurately processed and ERAs are returned swiftly to Workflow Services. We encourage all pharmacies to take this step promptly to prevent delays and improve billing efficiency.
