Workflow Services Product Update and Newsletter Vol. 10 - August 21, 2025
Workflow Services is committed to meeting the needs of our customers. We listen carefully to feedback you share and make updates as quickly as we are able. This newsletter will help you stay informed of new features in our platform and keep you updated on industry news.
🚀 New Product Feature: Refund Patients in the Platform
If you are using our credit card payment feature and a patient gets charged in error or incorrectly, you can now refund a patient directly within the Workflow Services platform.
- Go to the Claims Page
- Find the specific claim
- Hover over the line and click the refund icon on the far right
The system will allow you to refund the exact amount charged to the patient. This makes managing refunds quick, accurate, and easy.
💡 Knowledge Share: Returned Claims
A claim in Returned status is waiting for action from pharmacy staff— this is most often an update to insurance information. Once corrected, the claim can be resubmitted.
⚠️ Remember: Some payers, like BCBS, require claims to be submitted within 90 days of the encounter. Be sure to review your Returned Claims regularly and resubmit them promptly to avoid missed payments.
📣 Spread the Word: Test-to-Treat & Back-to-School
As pharmacies expand clinical services, one of the biggest challenges is getting the word out. Back-to-School season is a great time to promote Test to Treat services:
- Partner with schools – Many pharmacies have found success by connecting with local school nurses and administrators to share information about their services.
- Highlight convenience & cost – Urgent care copays are often the same or higher than pharmacy cash prices, and the pharmacy is a faster, more convenient option.
- Use simple marketing tools – We’ve created an email template and other marketing tools you can use to promote Test to Treat to schools and your community.
- Promote at the point of care – Add a bag stuffer or note with antibiotic prescriptions to let patients know about the service for the future. This would also be a great way to promote tobacco cessation or oral contraceptive services.
