🆕 Enhancements to Consent Capture in Workflow Services
We’ve made important updates to how patient consent is captured and tracked within our workflows—making the process more flexible, transparent, and efficient for both patients and pharmacy teams.
What’s new:
- You’ll now see whether consent (including signature and minor consent) has ever been collected for a specific service—along with the date consent was obtained and the date the service was performed, if applicable.
- If consent was not captured during self registration, it can be collected directly on the current device or sent to the patient’s device using the new “Update Consent” button for a seamless digital experience.
- Once completed, patients remain consented for two weeks or until the pharmacist requests a new consent.
- By default, consent is required to advance in workflows, but this setting can be configured to be optional based on your pharmacy’s needs.
These enhancements make it easier to document and verify consent while maintaining compliance and improving workflow efficiency.
đź’ł Adding Insurance Information Without a Card
Collecting accurate insurance information is one of the most important steps for medical billing. To help with this we make it easy for you to take photos of a patient’s insurance card. Sometimes, though, a patient may not have their insurance card on hand and you still want to complete the encounter. You can move forward without an image of an insurance card using a few simple workarounds.
Here’s how:
- If subscriber or plan information is available through a payer portal or you have it stored within your PMS, you can also take a screenshot or capture a photo using the tablet.
- Find an image of a sample insurance card (front and back) and save it to your device. When prompted to upload the card, use that image as a placeholder.
- Once uploaded, edit the card details to enter the correct plan name, subscriber number, and any other required fields.
While an actual image of the patient’s insurance card is always preferred for accuracy and payer verification, these options allow you to complete encounters efficiently and ensure insurance details are included whenever possible.
🧩 Enhancements to the Clinical Visit Template (CVT) Builder
We’ve made several updates to the CVT Builder to give you more flexibility and control when creating and customizing your workflows. These enhancements are designed to make it easier to capture the right information efficiently during patient encounters.
Here’s what’s new:
- âś… Checkbox List Support (with Select All / Deselect All):
Add lists of selectable items—like medical conditions or vaccine history—so patients can easily check all that apply. - ↕️ Question Reordering:
Rearrange questions within your survey to better fit your workflow and improve the flow of data collection. - ⚠️ New Screen Reminder:
When you reach 10 questions in a row on a patient survey, you’ll see a reminder to add a new screen—helping ensure tablets and desktops display all questions clearly without excessive scrolling. - 📸 Photo Capture Screens:
Capture images directly within the workflow, such as photos of skin conditions or other visual documentation relevant to the encounter.
These enhancements make the CVT Builder more intuitive and powerful—helping your pharmacy streamline documentation while maintaining flexibility to fit your unique clinical services.
🏠New Option: At-Home Vaccine Administration
We’ve added a new feature to the Vaccine Administration workflow that supports documentation and billing for vaccines given in a patient’s home.
You’ll now see a checkbox labeled “Administered at the patient’s residence” at the bottom of the administration page. When checked, the system will:
- Prompt you to enter a reason for administering the vaccine in the patient’s home.
- Automatically update the CPT codes (M0201) to reflect the at-home service for additional reimbursement.
This enhancement makes it easier to accurately capture and bill for at-home vaccine services while keeping documentation simple and consistent.
✨ Thank you for continuing to partner with Workflow Services. Together, we’re shaping the future of pharmacy care!
