This article provides best practices for using workflow services to streamline registration at a remote vaccine clinic. Follow these guidelines to ensure an efficient and smooth process for both staff and participants.

Share the registration link ahead of time
Provide the self-registration link to your clinic contact (such as an employer, school, or community site). They can share it with employees, students, or residents who plan to receive a vaccine. -
Patients register in advance
When patients complete the survey before the clinic, their information will already be in the system. At the event, staff can simply search by patient name to access the record. -
Display QR Codes for On-Site Registration
Print and display QR codes at the event location for participants who may not have pre-registered. This allows for quick registration using their own mobile devices. -
Consider Additional Staff for Assistance
If the population being served may struggle with technology, consider bringing an extra staff member to assist with the registration process. This can help expedite check-in and reduce potential delays. -
Ensure Reliable Wi-Fi Access
Verify that the clinic location has Wi-Fi access to support the workflow services. Reliable internet is essential for real-time registration updates.
Boost efficiency with tablets: Using tablets to record vaccine administration makes the process faster and smoother. The workflow automatically saves the lot number and expiration date, eliminating the need to re-key this information for each patient. After the encounter is completed, VIS sheets are automatically emailed to every patient, ensuring compliance and reducing paperwork and paper costs.
Streamlined records: The Report Queue also serves as a record of vaccines administered that day, making it easy for staff to reference and assist with PMS entry after the clinic.
Accessible for everyone: Don’t let age or tech experience be a barrier to using the platform. At a recent State Fair, one of our customers used our platform to administer more than 3,000 vaccines, and people of all ages and abilities were able to complete self-registration successfully. Make sure your whole team, including techs and clerks, are familiar with the self-registration process so they can make this a positive experience for everyone.
Finding your pharmacy's URL and QR Code in Workflow Services:
- Select Links from the left menu bar.
- From the Organization Links choose any of the options highlighted below.
- Patient Self-Registration QR Code Choose this to add a QR code to a flyer you are using for the event. Be sure to print and bring the flyer with you to the event.
- To use this QR code either right-click and copy the image or take a screen shot of the image to use when designing your flyer.
- Download "Sign up" poster to download a printable poster with your Pharmacy logo and the Patient Self Registration QR Code to display in your pharmacy or at a remote location.
- Copy and paste the URL code listed under Patient Self-Registration URL to include on your website or include in emails.
💡 Many of our pharmacies print flyers containing the QR code and laminate them. They display these flyers in their pharmacies and/or carry them with them to events to make patient registration easy for them and for patients.
