Workflow Services can fax reports to a patient's primary care provider (PCP) on the pharmacy's behalf. Sometimes a provider's fax number needs to be verified before that fax can go out, either because the provider is new to the system, a previous fax delivery failed, or no fax number exists yet in the PCP database.
Getting Notified
When there are providers waiting to be verified, anyone with Can Manage Administrative Tasks checked in their User Settings will receive an email notification.
The email includes a link that takes you directly to the relevant tab in the Web Portal, either Colorectal Cancer Program or Report Queue, depending on where the provider needing verification lives. Each of these tabs has its own Review Providers button and its own separate list of providers, so the same review process can happen from either place.
Reviewing a Provider
- In the Colorectal Cancer Program or Report Queue tab, look for the Review Providers button. When there are providers waiting to be verified, this button turns bright yellow and displays a badge with the number of providers in the queue.
- Click Review Providers. You'll see the first provider that needs verification.
- Use the provider's name and contact information shown on screen to look up their fax number, or call the phone number on file to confirm it directly with their office.
- Check the box labeled I verify that the provider's fax number is accurate.
- Click Fax is Accurate.
Other Options on the Verification Screen
- Mark as Unverifiable: Use this if you're unable to track down a working fax number for the provider. No faxes will be sent to this PCP going forward.
- Skip This Provider: Use this if you'd rather come back to this provider later, for example if you called their office and it was closed. The provider stays in the queue, and will appear again the next time you click Review Providers.
A Note on Repeated Verifications
If you verify a fax number and a later fax attempt to that provider fails, the provider will reappear in the queue for verification again. If you see a provider that looks familiar, it's worth calling their office directly or digging a little deeper to make sure the fax number you find will actually go through.
Why PCP Information Matters
Make sure PCP information is being recorded accurately during patient workflows, especially if your pharmacy plans to use the faxing feature or if your state requires this kind of reporting. If no PCP is listed for a patient, no fax will be sent after the encounter.
