Use this process when a patient has a balance due that was not covered by insurance. You will see the claim has a status of “In Collection” in the Claims tab of your Web Portal if there is any patient responsibility. You will need to collect that payment to move the Claim to the "Paid" Status.
Common scenario: Medicare patients often carry a patient responsibility balance at the start of the year due to their annual deductible (typically around $280).
Step 1: Add or request the patient's credit card
If you did not collect payment information at the time of the encounter, you will need to collect it to charge their portion of the bill.
- Go to the patient's tab and search for the patient.
- Select the pencil icon to edit the patient record.
- Scroll down to the credit card section. You have two options:
Option A: Enter the card information directly if you have it on hand.
Option B: Click the paper airplane button to send the patient a secure request to submit their card themselves.
Step 2: Charge the patient in the claims portal
- Once the card is on file, go to the claims portal.
- Select the relevant claim and click "Charge patient credit card."
