Once medical billing is enabled for your store, new options will be available for the patient during registration and for your team during the workflow. We've outlined these options below, or if you prefer, we've also included a video which details these same changes.

Configuration Options:
By default, we are enabling the payment options below in support of medical billing. If you would like to modify these options, please contact us at support@imagemovermd.com to discuss, as we want to be sure you understand the impact prior to changing.
- Accept insurance - This allows your team to collect insurance and therefore allows us to submit claims on your behalf
- Accept insurance cards during self-registration - This allows patients to enter their own insurance information, which ideally will save your team time during the encounter
- Bill Vaccination Product through PMS - at this time, most of our pharmacy partners are continuing to bill the product through their PMS, however you will have the option to override that selection during the workflow or by changing your default
- Bill Vaccination Administration through PMS - similar to the product, at this time this is how most partners are moving forward, but the override is possible
Patient Registration:
If you are accepting insurance cards during self-registration, the patient will be asked to enter their medical insurance info following the consent screen, however it will not be required. They can click 'Next' without entering, in which case your team will need to collect the info when the patient comes in for care.
When they click 'Add insurance' they will see a picklist which will show all payers you're currently set up with to bill via our system. It is important to note that this is not a comprehensive list of all payers available across the country, which is why we provide a tip for patients in yellow.
If their payer is one you accept, they'll be prompted to enter their insurance details and will also have the ability to upload pictures of their insurance cards. We recommend taking a photo of the front and back of the insurance card.
They will also be asked to input a credit card, provided that option is enabled for your location. As with insurance, they can skip this if they'd like, and then your team will need to collect.
Collecting Payment Info During the Workflow
Prior to performing the clinical service, you'll be prompted to determine if insurance should be billed or not.
If yes, and the patient hasn't already input their medical insurance info, you can do so for them. The platform will then check to determine if the patient's policy is currently active via RTE (real time eligibility).
You will also have the ability to add a credit card if the patient hasn't already done so. If a credit card has not been loaded and you try to proceed, you will be warned against proceeding, as it puts you at risk of not collecting the full payment from the patient if it isn't fully covered by their insurance.
Evalutation and Management
A key part of medical billing is the concept of a consultation or evaluation and management encounter, so following the administration of the service, you'll be prompted to state if you provided this type of support to the patient or not.
If you say 'no', you'll be allowed to finalize the encounter. If you say 'yes', you'll be asked for additional info to help build the claim. These questions will vary based on the type of service you're providing (screenshot below is a sample from a vaccination encounter). You will also select how much time you spent with the patient from the start of the encounter to the end.
The final step will be to review the info we'll use to support the claim and determine what, if any, payment you're collecting at the time of service.
Claims Management
You will then see details on the patient's claim in the 'Claims' section of the Web Portal.
